Client reminders: know when to get back in touch

Set a reminder in ISF Agenda after a client’s last appointment, then review their history and decide how to get back in touch.

Some clients already have their next meeting in your calendar. For others, the last visit is behind you and new commitments fill the week. More time than you intended can pass before you return to the conversation.

Client reminders in ISF Agenda help you notice that gap. You choose how many days after a client’s last recorded appointment you want to receive a reminder.

Choose a reminder for each client

Take Dr. Riccardo V., a cardiologist who accepts visits in Bologna on Tuesdays. His last appointment is in the past, and you have not scheduled another one. You want a reminder if 30 days pass without a new meeting planned, so you set that interval in his profile.

The setting applies to Riccardo. You can choose a different interval for Dr. Elena R., whose next appointment at the medical center in Casalecchio is already scheduled. The timing can reflect how you manage each relationship.

Use the reminder to prepare your next contact

ISF Agenda can send the reminder once the chosen number of days has passed since Riccardo’s last appointment, provided he has a past appointment and no future appointment is scheduled. His profile shows the reminder setting and how long it has been since the last recorded appointment.

Open his contact history, review any open questions and decide whether to call him or suggest a visit. His visiting days and addresses help you see where a meeting could fit into the week.

The reminder gives you a reason to review the relationship; you decide on the next step and arrange the appointment. After a new contact, set the reminder again if you want to reactivate it for another interval. It does not repeat automatically every 30 days.

Read reminders alongside frequency goals

Contact frequency goals compare the appointments recorded in a calendar period of one, two, three or four months with the number you intended. A reminder is based on the time since one client’s last appointment.

Riccardo’s quarterly goal may show one appointment out of two. His 30-day reminder draws your attention to the time since the last contact. Together, those details help you decide whether to get back in touch and what to discuss when you do.
