In a busy week, you may meet some clients several times while others still have no appointment in your calendar. The calendar shows your commitments, but it can be harder to see whether you are making contact as often as you intended with each person.

ISF Agenda’s contact frequency goals add that view. For each client, you choose a target number of appointments for a period and compare it with the appointments recorded in the app.

Set a goal that suits each relationship

Take Dr. Elena R. from our article on planning visits. You want to plan two contacts per month with her. For Dr. Riccardo V., you plan two per quarter. A single goal for your entire client list would not reflect both needs.

In ISF Agenda, each goal belongs to an individual client’s profile. You can set a number of appointments for a calendar period of one, two, three or four months. The goal stays alongside the client’s details, locations and contact history.

These are fixed calendar periods. A quarterly goal, for example, counts appointments in the current calendar quarter, such as January through March; it does not look back over the last three months from today.

See your progress as you plan

Imagine that Elena has two appointments recorded for the month: one dated earlier in the month and one scheduled for next week. Her profile shows 2 out of 2 for the monthly goal. Riccardo has 1 out of 2 for the quarter, so you may want to arrange another contact.

The count includes all appointments whose dates fall within that calendar period, including future appointments and other types of contact, such as a phone call entered in the calendar. It helps you compare your intended frequency with the entries in the app. It does not show how many visits were completed or measure sales results.

Use the numbers to decide whom to contact

When you plan your week, the “goal not reached” filter finds clients whose recorded appointment count is still below their target for the selected period. Select the quarterly goal to find Riccardo, who has 1 out of 2. If you switch to the monthly goal, Elena is excluded because she already has 2 out of 2. The filter only considers clients who have a goal set for the selected period. You can then consider the matching clients’ visiting days, locations and the commitments already in your calendar.

The dashboard also summarizes progress toward client goals. Use this overview to focus your planning: Who still needs space in my calendar during the current period?

The goal makes your intended contact schedule visible. Information in the client profile and map helps you arrange a suitable meeting, while appointment notes and materials help you prepare the conversation.

For needs that span several clients, you can organize your client list with tags. If you want a reminder after a certain number of days since a client’s last appointment, you can set a client reminder.
